Privacy Policy

1. About this policy

The 5Brains™ Pulse is developed and owned by Shenae Munro and administered by PRO HR CONSULTING PTY LTD (ABN 73 636 507 009), trading as Executive Performance Partners (EPP).

This policy explains how personal information submitted through the 5Brains™ Pulse is collected, used, stored and disclosed.

2. Information we collect

When you complete the Pulse, we collect:

• your first name and email address;
• your generation or birth-year bracket;
• your organisation, if you choose to provide it;
• whether you have chosen to join the Brainlish Bunch;
• your responses to the 20 Pulse statements; and
• your calculated scores and results.

Our service providers may also generate routine technical information needed to operate and secure the site, such as timestamps, device or browser information, IP addresses and security logs. We do not ask you to provide clinical, diagnostic or other sensitive health information.

3. Why we collect it

We collect and use this information to:

• confirm that participants are adults;
• administer the 5Brains™ Pulse;
• calculate, display and email your results;
• maintain an administrative record of participation;
• respond to questions or requests;
• operate, secure and troubleshoot the site;
• meet applicable legal and regulatory obligations; and
• send Brainlish Bunch communications only where you have separately chosen to receive them.

We will not use identifiable Pulse responses for unrelated research, publication, promotional case studies or automated decision-making without any additional permission required for that use.

4. Required and optional information

Your first name, email address, generation or birth-year bracket, confirmation that you are 18 or over, and answers to all 20 statements are required. Without them, we cannot calculate and email your results.

Your organisation and Brainlish Bunch subscription are optional. You can complete the Pulse without joining the mailing list.

5. Who receives your information

Information may be accessed or processed by:

• Executive Performance Partners, to administer the Pulse;
• Shenae Munro, who receives an administrative notification and a copy of the results email;
• Cloudflare, which provides website and database services;
• Resend and its supporting infrastructure, which deliver emails;
• professional advisers or service providers where reasonably necessary; and
• government, regulatory or law-enforcement authorities where disclosure is required or authorised by law.

Epilepsy Queensland does not receive participant information through this Pulse unless that is expressly explained and separately authorised. We do not sell or trade your personal information.

6. Overseas processing

Personal information may be processed outside Australia. Cloudflare may process website traffic through its global network and processes activity metadata in the United States and Europe. Resend stores email addresses, message content and associated records in the United States; email may also be routed through the United States, Ireland, Brazil or Japan, depending on the configured sending region. We use established providers and take reasonable steps to protect information handled on our behalf.

7. Brainlish Bunch communications

Joining the Brainlish Bunch is voluntary. We only send these communications where you select the separate mailing-list checkbox or otherwise provide consent. Marketing messages will identify the sender and provide an unsubscribe option.

Unsubscribing from marketing does not prevent us from sending the results or essential administrative messages you requested by completing the Pulse.

8. Storage, security and retention

We use reasonable technical and organisational safeguards to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. No internet-based system can be guaranteed to be completely secure.

We retain personal information only for as long as reasonably needed for the purposes described in this policy or as required by law. When it is no longer required, we take reasonable steps to delete or de-identify it.

9. Access, correction and deletion

You may ask to access or correct personal information we hold about you. You may also request deletion where we are not legally or operationally required to retain it. We may need to verify your identity before actioning a request.

10. Participants under 18

This version of the 5Brains™ Pulse is intended only for people aged 18 and over. We do not knowingly collect children’s information through it. If you believe someone under 18 has submitted information, please contact us so we can review and, where appropriate, delete it.

11. Questions and complaints

Privacy enquiries, access or correction requests, deletion requests and complaints can be sent to shenae@brainlish5brains.com. We will review and respond within a reasonable period. If you are not satisfied with our response and the Australian Privacy Act applies, you may contact the Office of the Australian Information Commissioner at oaic.gov.au.

12. Changes to this policy

We may update this policy when the Pulse, our practices or applicable requirements change. The current version and its date will remain published here.
